How to label and pack so nothing is lost

  1. Assign a color to each zone or department.

  2. Give every workstation a code that matches the new floor plan, for example 3B 14.

  3. Place the label on the top left of each box, the chair back, the monitor, the CPU, and the pedestal.

  4. Pack heavy items in small boxes and light items in larger boxes.

  5. Lock file cabinets and tag keys in a zip bag inside the top drawer.

  6. Snap a photo of any special setup so it can be rebuilt exactly the same at the new site.

IT cutover without surprises

Back up critical systems before any disconnect. Confirm power, network, and cooling at the new site. Move servers and network gear in dedicated cases with anti static protection. Stage racks in order, route power first, then data. Use a device list to verify every serial number that leaves the old site arrives at the new site. Schedule a smoke test that includes internet, shared drives, printers, and conference rooms.

Protect floors with runners, cover corners, pad door frames, and cap sprinklers where needed. Lock in loading times with the building. Confirm height and length limits for the dock. Reserve parking for trucks and a staging area near the elevator. Share a contact list that includes security, property management, your team leads, and the move supervisor.

Decommission the old space

Remove all items that are not part of the new lease. Patch minor wall holes, sweep, and leave the space in broom clean condition. Provide receipts for e waste and donation so your team can log the environmental benefit. Photograph the space after handoff.
